Choose the handoff before choosing the format

Gamma offers PDF, PNG, and PowerPoint exports, with a PowerPoint upload providing a route into Google Slides. These formats serve different purposes. Start by asking whether the recipient needs to read, present, or revise the material.

For an illustrative SaaS onboarding deck, the customer-success lead might need an editable presentation while a new customer needs a compact reference copy. Keep those as two named deliverables. Sending a screenshot-based file to someone expected to revise the text creates avoidable work even when the slides look attractive.

Review the presentation state and card selection

Gamma documents that exports reflect Present Mode and that the export menu can target all cards or the current card. Check both before downloading a full deck. An apparently missing slide may be a selection issue rather than lost content.

For the onboarding example, list the intended sections first: the customer goal, setup prerequisites, one demonstrated workflow, common questions, and the next action. Compare that list with the exported pages. Keep presenter-only discussion points out of a reading copy if the recipient would otherwise lack the context to understand them.

Prepare dense content for the person who will read it

Before exporting, turn a crowded feature list into a clear claim supported by the necessary evidence. A live presenter can explain shorthand; an emailed PDF needs to stand on its own. Review the deck at the approximate size someone will actually use, rather than judging every card while zoomed in.

For a sample setup table, keep the action, owner, and expected result easy to scan. Avoid using tiny text to fit an unbounded process onto one slide. If a step requires a detailed procedure, link to the maintained instructions and give the slide the job of explaining when that procedure is needed.

Check editability in the destination application

Gamma currently supports editable tables in PPTX exports and includes speaker notes. Its documentation also notes that exported presentations do not include a PowerPoint slide master layout. Check the recipient's requirements if their organization expects reusable master layouts.

Ask the customer-success lead to make a representative edit in the exported onboarding deck: change a heading, revise one table value, and add a note. This reveals whether the handoff is usable for its intended maintenance work. A file opening successfully establishes less than a file that the next owner can confidently revise.

Inspect fonts and static-format limits

Gamma describes font embedding in PowerPoint exports, but Google Slides ignores embedded PPTX fonts and may substitute them. It also identifies export differences for some visual effects. PDF exports are static, so a form or interactive element needs a separate route for the customer to use it.

Open a representative title slide, a dense table, and a visual explanation in the actual destination. Check line breaks, legibility, and whether the displayed instructions still correspond to the current app. Keep a link beside any interaction that must happen on the website. Record a layout adjustment once rather than rediscovering it at every customer handoff.

Keep one source and name exported revisions clearly

If you begin with an existing deck, Gamma's import documentation distinguishes the newer import workflow from the classic generator and explains options for preserving or transforming content. Select the route that matches whether you want to retain the original or deliberately rewrite it.

Choose which file or workspace remains the source for future changes. Give the exported onboarding deliverables a revision date and an owner, then verify that the editable and reading copies describe the same workflow. A practical Gamma handoff is complete when the next person can use the material in their own tool and knows where to request an update.
