Which metrics help a solo SaaS founder make decisions?
Start with qualified visits, a defined useful first action, paying customers, normalized recurring revenue, and return use at the task’s natural frequency. Keep revenue, cash receipts, and profit separate. Document the definitions and reporting period before comparing numbers. These examples are management arithmetic, not accounting, tax, valuation, or investment advice.
How do you calculate MRR?
For this worksheet, MRR is the sum of active recurring subscription amounts normalized to one month, excluding one-time charges, taxes collected, trials, and lifetime-deal receipts. Ten customers on a 20-unit monthly plan contribute 200 units. Two customers on a 240-unit annual plan contribute 40 normalized monthly units, for 240 MRR. The annual payment’s cash timing differs from this management measure. Document discounts, delinquent subscriptions, currencies, and changes consistently.
Track the bridge between periods
Using fictional inputs, 240 starting MRR plus 60 new, plus 10 expansion, minus 5 contraction, minus 20 churn equals 285 ending MRR. Keep annualized recurring revenue, when useful, as twelve times the monthly measure: 285 becomes 3420. This does not forecast receipts or recognized revenue. The downloadable sample contains these inputs and formulas as plain text for inspection.
| Component | Units |
|---|---|
| Starting MRR | 240 |
| New recurring MRR | 60 |
| Expansion MRR | 10 |
| Contraction MRR | -5 |
| Churned MRR | -20 |
| Ending MRR | 285 |
Interpret activation and churn with their denominators
If six of twelve eligible new accounts complete the defined first task, the sample activation rate is 50%. If two of twenty paying customers present at the start cancel during the period, the sample customer churn rate is 10%. Show the counts and period alongside percentages. New customers acquired during the month do not belong in that starting-customer denominator. Revenue churn describes a different quantity and can move differently when plan sizes vary.
What does MRR leave out?
Delivery costs, refunds, payment fees, taxes, founder time, fixed expenses, and cash timing still need separate records. A simplified contribution example subtracts 90 variable delivery units from 300 revenue units to leave 210 before other costs; it is not net profit. Use the attribution guide to connect acquisition observations to outcomes without inventing causation. Use an accountant’s definitions for financial reporting and tax treatment.
